Hei Tise, it's Vilte!

I'm dreaming of the Office Manager role and ready to make your office a place where everything just works and where people actually want to be. From keeping the space effortlessly organized to running hands-on teambuildings, I love making life smoother, sparking connection, and adding a little fun along the way.

Here, you can learn more about me, my experience, and my approach and hopefully we get to meet in person soon!

Guess what? Teambuilding meme featuring The Office

I might not be the Pam of The Office, and I'm definitely not Michael Scott (though I admire his confidence), but I do love a fun office where everything runs smoothly, people can laugh, and moments happen naturally. I help create spaces where teams can actually connect, collaborate, and maybe even have a little fun along the way.

First 90 days

Creating clarity, trust, and momentum. The first 90 days are about understanding deeply, improving quickly, and building something that lasts.

Understand - First 30 days
Listen first. Fix fast.
  • Understand how people use the office, what works, what doesn't. Send a short survey to collect the feedback.
  • Meet with teams across the company to identify key "office dream team" members to collaborate with on various initiatives. Start planning the office move.
  • Review all vendor relationships, contracts, budgets, and service levels. Identify what can be optimized, what should be replaced, and what is truly a "holy grail".
  • Identify quick wins and make small improvements.
  • Document what exists, what's missing, and what needs to change and create OKRs for the next 60 days.
Structure - First 60 days
Turn insights into systems
  • Improve vendor setup - clear contracts, service expectations, and accountability.
  • Map out main Office celebrations, events and start preparing for it. Plus improve frameworks for managing events.
  • Have an office transition plan - timeline, communication, and logistics.
  • Planning the summer event.
  • Create simple documentation on processes in the office that people will actually use to make their life easier.
Execute - First 90 days
Take ownership and deliver
  • Support the office move - calm execution, clear communication, minimal disruption
  • Ensure the new space works from day one - everything in place, everything functional
  • Be visible and available - people know who to ask when something needs fixing
  • Fix issues quickly and communicate clearly about what's being done
  • Build sustainable routines - regular check-ins, maintenance schedules, and feedback loops
Learn → Structure → Execute

Office move plan

Moving people, not just desks. An office move is not just logistics. It's a moment of change - for people, culture, and how work happens.

People
Start here
  • Clear, consistent communication - what's happening, when, and why.
  • Share what you know, and what you don't know yet.
  • Create space for questions, concerns, and input.
  • Involve people in decisions that affect how they work.
Goal: People feel included, part of the growth.
Understand
Before making decisions
  • What's the plan for goodbye rituals at the old office and welcome events at the new one? Rituals that should continue?
  • What kind of office it will be? Is it new, is it old, is it rented? When is the move in date? Are you on top of the move in plan? What are key roadblockers/redflags? Where the help is mostly needed?
  • What is the timeline for move-in, installation, setup, budget and progress?
  • Which current vendors and service providers will transfer to the new office, and which will we need to source from scratch?
Output: Clear priorities for the new space
Plan
Make it simple and predictable
  • Create a clear timeline - what happens when, and who's responsible
  • Align vendors, movers, and service providers early
  • Plan seating, layouts, and team placement thoughtfully alongside main equipment which should work before moving in.
  • Prepare communication for each phase of the move.
  • Decide what to move, what to replace, and what to leave.
Goal: No confusion. No surprises.
Move
Calm execution
  • Close the old office properly - nothing left behind, nothing forgotten. Move essentials from old office to new office.
  • Settle new office infrastructure before everyone moves in. At the same time I must be present and visible - people know who to ask when something's wrong.
  • Ensure everything works in the new office on day one - internet, allocated workspaces, coffee, bathrooms, kitchens.
  • Move in celebration!
Goal: A smooth, low-stress transition
Settle in
Make it work
  • Fix issues quickly - nothing lingers, nothing gets ignored.
  • Gather feedback - what's working, what's not, what needs adjusting.
  • Adjust the space based on how people actually use it.
  • Build routines and systems for the new office.
Goal: A space people actually want to use
Culture
Move week
Last lunch/dinner in the old office. First breakfast in the new one.
Month 1
Office hours for questions. Quick improvements based on feedback.
Month 2
First team event in the new space.
Month 3
First All Hands in the new office.

This is a very high level plan. It's a way of thinking. People first. Space second. Logistics third.
